1. Opening session

The meeting was chaired by Prof.Dr. Osman Titrek from University of Sakarya. The partners present at the meeting are listed above. In his welcoming words, he wished everyone a healthy day. He asked the attendances whether they would like to say something to others. Prof. Titrek said that it would be a short meeting. Following the opening session, Titrek read the agenda. The meeting focused on e-book chapters, need analysis, ICLEL Conference and IP program.

2. Book chapters and Video Issues

Prof. Dr. David Rae gave a short briefing about the book chapters. He talked about which chapters were written and what corrections needed to be made. He also tried to clarify when the latest book chapters should be finished. He said for the chapters that some need restructuring and some need shortening. The book would make a new and useful contribution which helps readers to look towards the new era, practical interconnections between creativity, entrepreneurship and education. There’s a lot we can do with this book and there are three bullet points. These are from the project. This is agreed with the EU as part of our contract with Commission so the main aim of the book is to create a comprehensive high-quality academic material to be used in developing creativity, entrepreneurship skills of students and young people level. So it is an educational purpose e-book will serve as an essential source of for unıversity students and young people who need and willing to develop their creativity and entrepreneurship skills. I think there is a mismatch and we’ll face this mismatch. I find because as a writer I am writing with a different voice from when I write as a researcher. I am trying to make them accessible to learners. What we need to do is make our material as accessible and engaging as we possibly can. So I’m happy to take any questions or suggestions or observations. After Prof. Dr. David long speech, Prof. Dr. Osman asked others whether they have any questions to David. Osman asked Felix about the situation with the book. there is no book chapter from Romania site. What is the problem? Dan said I saw David's email but we decided not to offer to response at the moment. Felix finished one chapter and he will help me with another chapter. It is impossible for me to complete one chapter at the moment. What is the dead line for the book chapters? Prof. Dr. Michele said that the dead line was the last month. Prof. Dr. Osman said that you have to finish the book chapters as soon as possible and I have to show yes this mission is completed. Another issue is video issues because the videos are almost done. I sent the videos for you second time for the recontrol. If everything is OK, send me email. Except David and Felix, nobody sent me email. Are videos OK? Please let me know via email as soon as possible if it is OK. Also Pablo and Jose recorded the videos as Spanish. I sent them to European Union. Please add subtitle as English. Is it clear this? Except Pablo and Jose, the video mission is completed. If there is any problems on video, please send me email and alert me with minutes so the expert will revised it. Prof. Dr. Michele wanted to ask couple of questions: What is a minimum length for the chapter in terms of words?; Could you provide a little bit more specific feedback for us? Prof. Dr. David said that I will try to answer all of those. In terms of a minimum length, it may be around 5000 words or so. Keep in mind that it includes resources as well. Other that text, it includes pictures, diagrams, figures, tables that may take some of word count as well. Second, in terms pf the review process we have three editors and we’ve commissioned reviews and so there will be feedback anonymously based on the reviewers. In general terms about the literature review, we have to ask ourselves what is the purpose of providing the literature review within the chapter? And so on. Prof. Dr. David advised to wait for the feedback to revise the chapter. I’m just asking all of you to think creatively and design the book chapter in this way. Prof. Dr. Linda also asked about the feedback because not to see what is missing or how can we improve it. Another question is about video: Are we right that these video will be in YouTube, in YouTube project account? We haven’t been asked these persons whom we were interviewed. We don’t know if they agree to be on. We ask them just for project needs not for YouTube. Prof. Dr. Osman replied that it is not really yes but we have to make the videos public and this is European Union project rules. The videos have to be published as open access. That’s the way everybody can reach them. Therefore, we have to ask permission. Please speak them because it is easy to create YouTube account and upload the videos there. Prof. Dr. Dan said that when you post something on YouTube, you can also make it a visible only with for those people that have a link so it will be public but not exactly public. Therefore, I think it is private this way that would be perfect way. People still access it if they have the link and this may solve the specific problem. Prof. Dr. Osman said that Dan, your solution is OK but European Union does not accept it because it should be accessible for everyone, it should be public. According to European Union, all the books, all the materials, all broadcast must be open access in the meantime. The solution maybe publishes on the project website which is accessible. Prof. Dr. Osman asked to Prof. Dr. Linda what do you think about IP program? We have to start planning IP program, selecting students process.

3. Planning Next IP Program at Liepaja University and Planning Granada Project Meeting

Prof. Dr. Linda said that we need to know what we will book hotel or dormitory because I don’t think that hotel will keep these rooms for very long time. Prof. Dr. Osman said that yes, so the hotels will sell them out. We need to reserve at least for 45 rooms. Prof. Dr. Linda said that all people should send me the exact number to reserve the rooms. Prof. Dr. Michele sent me three double rooms and one single room, total seven people. We have two options: one is hostel and the other is hotel that gives also some discount for our university. We don’t have such dormitories belonging to university. The hostel does not have a breakfast and the shower is not in the room, it is in the hall way. Prof. Dr. Osman said that please everybody provides the number of rooms and people by next week to Linda and me. Also second IP program topic will be related to entrepreneurship in education. 42 people from universities and 3 people from CSCS, at least 45 people will be in Liepaja. The program will be September 19 to 23 through online program. We can use Sakarya University system to create online courses. Please send Linda and me the list of everybody who will attend from your university. Please write name, email and the passport numbers as soon as possible. Prof. Dr. Linda politely request to speak about the hotel condition. She said that we need to know about the dates and how many people would come. Also she said Romanian are going to come in a little bit different dates so we need to know from which date we need these rooms. The excursion to Riga on Saturday is planned, therefore you need to book the last night in Riga on Saturday. Also we need to organize online week courses. Whether the same students who will be in online course come to Liepaja or completely different. Prof.Dr. Osman said that both possibilities are on the tables. You can select the same students or different students from the last IP program. Linda suggested that students can get to know each other during this online week, and they meet in IP program. She said that we focus on lectures, workshops and different activities in Liepaja. Therefore, we thought that it could be good to present their cultural workshops and tell about their culture during online interaction. Otherwise, some country will present their cultural workshop the last day of the intensive program. Dr. Felix asked a question to Osman about bringing four students and three professors to the IP program. And Prof. Dr. Osman replied that you have to bring five students and you can bring three teachers but money is for seven people. So you can come eight people but EU pays for seven people. Based on the project rules, we wrote for five or six students for each partner. Dr. Felix also mentioned another problem for the IP program. He said that since Romania team could not find a direct flight to Riga for 25 September, they can arrive either in the afternoon of 25 September or on Friday 30 September. Does this cause problems? Prof. Dr. Osman said Dr. Felix that I will answer your question later. He asked everybody inform him and Linda details about their flights, emails, passport numbers as soon as possible. Prof. Dr. David and Dan asked the budget per person for flights and for accommodation. They are going to make a decision about hotel type and room based on the budget. Prof. Dr. Osman said that I already have sent the project budget for each of you three times. Please check your email or please check your university side. According to the project budget side, you have 10000 euro and in intensive program to the seven people you have 1,925 euro for the travel. He also said that you can transfer 15% or more of your implementation and management budget to the IP budget. Especially in the COVID time it is possible. Also I will transfer some money from the project implementation budget to the Liepaja IP program because the plane ticket form Turkey to Riga is so expensive. That’s why I will transfer some money. Prof. Dr. Michele asked that whether we create a video in Latvia during IP program? Prof. Dr. Osman explained that the 16 recorded videos are enough. In the project, every partner recorded two videos based on the project. The total 16 videos were recorded and that mission is completed. Also, we are going to record new videos from the lectures as well based on the project plan. Prof. Dr. Jose talked the problem about how the system was changed and now it is very difficult to attend the Liepaja IP program. Prof. Dr. Osman requested him to write a formal letter via email and add the university email address in CC so he can try to solve the problem. He alert to EU the problem and the EU try to solve the problem. Prof. Dr. Osman reminded that please write me and Jose who will come to Granada and he asked that please send the names every partners. We have to know how many people from each group will come.

4. Planning the Next Meeting Date

Prof. Dr. Osman said that “Next month, May 27th is OK for the next meeting?”. Everyone agrees on the date for the next meeting.

Prof. Dr. Osman Titrek thanked all the participants, arranged the next meeting date and wished a nice healthy day.
